Basic Policy on Personal Information Protection

PRAP Group carries out its business activities under a management philosophy of contributing to the development of society and culture, and builds good relations between its customers and society by supporting PR and communication activities of corporate organizations.

In our group’s business activities, we believe that protecting personal information is not only a legal obligation but also a social responsibility. We will comply with the following basic policy regarding the protection of personal information (hereinafter referred to as “this policy”). However, this policy does not cover the “individual Number” and the “Specific Personal Information” defined in the “Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures”.

1. Collection and Use of Personal Information

The collection of personal information is done with the purpose disclosed in advance and by appropriate and fair methods within the necessary scope of business activities. The personal information collected will be used within the purpose of use with the prior consent of the person concerned.

2. Management of Personal Information

In order to prevent unauthorized access, loss, destruction, alteration or leakage of personal information, PRAP Group has established a management system and internal regulations, conducts educational activities for officers and employees, takes necessary and appropriate safety measures such as access restrictions for office areas where personal information is handled, thorough account management, use of antivirus software etc. In addition, personal information that has passed the prescribed retention period specified by the Group will be disposed of or deleted in an appropriate manner.

3. Provision to Third Parties

PRAP Group will not disclose or provide personal information to third parties except in the following cases.

(1) When the person concerned has consented to it

(2) When required by the law

(3) When it is necessary to protect a person’s life, physical integrity or property, and the consent is difficult to obtain

(4) When it is particularly necessary to improve public health or promote the sound growth of children, and the consent is difficult to obtain

(5) When it is necessary to cooperate with a government agency, a local government, or a person entrusted by them in carrying out affairs stipulated by laws and regulations, and obtaining the consent of the person concerned may interfere with the execution of such affairs

(6) When outsourcing all or part of the personal information management to the extent necessary to achieve the purpose of use in order to perform activities smoothly

4. Joint Use

PRAP Group may jointly use personal information within the scope of the purpose of use disclosed in advance in order to provide comprehensive services among the Group.

5. Outsourcing Management

When outsourcing to a partner company the management of personal information collected by and entrusted to our group, we will select an appropriate contractor and work to prevent leakage and re-provision from it through contractual obligations and appropriate supervision.

6. Legal Compliance

PRAP Group complies with the Act on the Protection of Personal Information (Act No. 57 of 2003, hereinafter referred to as the “Personal Information Protection Act”) and related laws and regulations (including government ordinances and guidelines), and properly handles Personal Information.

7. Continuous Improvement

In order to ensure the implementation and maintenance of personal information protection, PRAP Group will continuously review its compliance program and strive to improve it.

8. Requests for Disclosure etc. of Personal Information

In accordance with the provisions of the Personal Information Protection Act, when there is a request for disclosure, correction, suspension of use, deletion, etc. regarding personal information collected by PRAP Group, we will promptly respond following our procedures after an identity verification of the person concerned.
